Types of Data Stored

Your Contact Information; Pre-therapy Questionnaire & Session Notes

Session Notes (Physical Meetings & Online)

Notes may be taken during and after your session – these are hand-written notes which are then typed up and stored electronically. On occasion these notes may be printed out for further work.

Data Storage (Security Assurance)

Non session data is stored electronically and password protected for security. Session notes are stored referencing only your initials and are password protected. Any physical notes are kept in a locked, secure cabinet (again referencing only your initials). We will take all reasonable steps to ensure your data is secure.

What we use your data for

Contact details are used to manage appointments. Session notes are used to inform our weekly sessions and may be shared with my *supervisor who is bound by a confidentiality contract (only your first name or initials will be used).

How long your notes will be kept for

The Pre-therapy Questionnaire, Contact Details & Session Notes will be retained whilst we work together. These will be kept for a further 5 years after we end (required for indemnity insurance). After that time, everything will be securely removed from electronic devices, and any physical copies will be securely shredded.

Your rights

You may view, amend, or delete any information that we hold, within one month of your request. In the event of a data breach we will report this to you and the Informations Commissioners Office within 72 hours.

Disclosure of your personal information

In the event of incapacity or death of your counsellor, your contact information will be disclosed to their executors so that they can notify you and will destroy all of your data.  A counsellor must disclose your personal data if ordered to do so for legal reasons. E.G. If ordered by a court, or as a legal requirement such as safeguarding children or vulnerable adults, terrorism or money laundering.

Recording consent

Engaging the services of a UK Therapy counsellor constitutes your approval & acceptance of this agreement & consent for them to use and store the personal information that you have disclosed, as detailed above. You may withdraw consent at any time.


You will be notified of any subsequent changes made to this privacy policy.

*What is Supervision?

Anyone working in mental health should meet for regular supervision.  Supervisors are experienced counsellors that discuss any number of cases with the practicing counsellor in order to provide support and training to the counsellor.  

UK Therapy counsellors meet at least once a month with their Supervisor, and engage in group supervision once every month.
